DEPRU Study Startup

This section will guide the study teams through creating study plans, using MS Bookings to schedule appointments at DEPRU, and reviewing the DEPRU supply and medication inventory. Please note: if the study requires supplies that are not listed, the study team will need to work with the sponsor to obtain the supplies. For medications are not available in Omnicell, please contact Min Gao at min.gao@duke.edu for assistance.

DEPRU Supply List If the study requires any supplies not included in the provided DEPRU supply list, the study team will need to coordinate with the sponsor to procure those items independently.
Omnicell Inventory If there are any medications that are required for the study that are not available in the Omnicell inventory, please reach out to Min Gao at min.gao@duke.edu for assistance.

Scheduling an Appointment

To schedule an appointment with the Research at Pickett Road facility associated with this service center, please follow these instructions: 

  1. Duke Clinical Research at Pickett uses an “in basket” through Maestro Care for scheduling appointments. All appointments scheduled in this facility must be entered by the Research at Pickett (R@P) Scheduler to assure appropriate staffing and space are available.
  2. To send an In Basket message (linked tip sheet).
    1. Choose “In Basket” tab from top (primary) tool bar (looks like an envelope)
    2. Choose “new msg” from the In Basket tool bar
    3. Choose search from the “to” portion of the message and then search in the “pools” area
    4. Type “Duke Clinical Research Pickett Scheduling” and the clinic in box will show. Choose this option and accept.
    5. In the subject line, mark “schedule, cancel or reschedule appointment” as appropriate and choose the research participant
    6. Type “duhsrshpic” in the body of the message and complete all fields.
  3. The R@P scheduling coordinator will schedule the appointment in Maestro Care. If your subject is signed up with Duke MyChart, they will receive an email reminder of the appointment.
  4. MRN: *** [If the participant does not have a Medical Record Number (MRN), you can request one through Maestro Care please refer to linked tip sheet. R@P scheduling coordinator will schedule the appointment in Maestro Care.
  5. Please verify that your subject has been scheduled appropriately by reviewing Maestro Care and notify the scheduler if there are any issues.
  6. Should you need to cancel a scheduled visit, please send an in basket message to cancel as soon as possible. Use the subject line and indicate “cancel by participant, cancel by study team or reschedule” as appropriate.
